Stillpoint vs HubSpot

Stillpoint CRM vs HubSpot

The honest framing here is scale and ownership, not a feature race. HubSpot is a mature cloud platform that will out-feature us in several areas. Stillpoint keeps every record on your own server for one flat price.

The short verdict

HubSpot is enormously capable: marketing, sales and service hubs, deep reporting, sequences, a vast app marketplace and a genuinely generous free tier. For a large sales organisation with a budget and an operations team, it is a legitimately strong choice and we will not pretend otherwise.

The trade-offs Stillpoint targets are structural. Your customer data lives in HubSpot's cloud rather than your infrastructure; pricing scales with seats and contact tiers, so costs grow with your success; and many of the advanced capabilities that make HubSpot compelling sit behind higher tiers.

Stillpoint's counter-position is narrow and deliberate: complete data ownership on your own WordPress server, unlimited users at a flat price, no per-contact escalation, and native WooCommerce integration rather than a connector. We are not trying to match HubSpot's marketing automation, reporting depth or app marketplace.

Credit where it is due

HubSpot did not become the default by accident. Its free CRM tier is unusually generous, its onboarding is excellent, its reporting and dashboarding are deeper than almost anything self-hosted, and its marketplace means the integration you need probably already exists. Sequences, meeting links, conversation intelligence, service ticketing and a full marketing suite all sit on the same contact record.

If you manage a sales team of dozens across territories, need forecast roll-ups by manager, run multi-channel campaigns and want a vendor with a support organisation and a certification programme behind it, HubSpot answers that brief and Stillpoint does not.

So this page is not an argument that HubSpot is bad software. It is an argument about who should own the data and how the bill should behave.

Where your data lives, and who controls it

In HubSpot your contacts, deals, notes and email history live in HubSpot's cloud, governed by its data-processing terms, its regional hosting choices and its availability. That is normal for SaaS and is not a scandal — but it does mean your most valuable commercial asset sits in an account you rent, and that a vendor outage is your outage.

Stillpoint stores everything on the server you already pay for: by default a single SQLite database file inside a private folder in your WordPress uploads directory, or your own MySQL/MariaDB database if you prefer, with attachments on the same server. The data folder ships with a deny-all rule and a blank index file so it cannot be browsed over the web, engine files refuse direct HTTP access, and you can move the database entirely outside your web root with one constant.

The compliance consequence is meaningful: because the data sits on your infrastructure in your chosen jurisdiction, you remain the data controller and we never receive, process or store your business records. Subject-access and data-residency requirements get much simpler. That is architectural help, not legal advice — compliance still depends on how you operate.

The pricing shape, not the price

We will not quote HubSpot figures, because tiers, seat types and contact bands change. What matters is the shape of the model: cost scales with the number of seats and with how many contacts you hold, and the more advanced capabilities sit at higher tiers. Success therefore increases the bill — more reps, more contacts, more spend — which is exactly when a growing business is least keen to renegotiate software.

Stillpoint's shape is flat. $19/mo or $149/yr for one site, $29/mo or $299/yr for up to five sites including the WooCommerce suite, $49/mo or $499/yr for up to twenty sites with priority support and onboarding. Unlimited users on every plan, unlimited contacts, and no upgrade triggered by database growth.

For a team of three the difference may be modest. For a team of fifteen with a large contact database, the shape of the model is usually the entire decision.

Sales pipeline: closer than you would expect

Both products get the fundamentals right, and it would be dishonest to claim a gap here. HubSpot has pipelines, deal stages, probabilities and forecasting; so does Stillpoint, with unlimited pipelines, ordered stages carrying win probability and won/lost flags, drag-and-drop Kanban, and a weighted forecast computed from deal value times stage probability, aggregated on the dashboard alongside open pipeline value, won/lost counts and value by stage.

Stillpoint adds rules-based lead scoring you can read and change — each rule targets a contact attribute with a match type and awards points — plus optional round-robin routing of inbound leads and owner scoping so agents see only their own book while admins see everything.

Where HubSpot pulls ahead is analytical depth: custom report building, attribution and roll-up reporting across large teams. Stillpoint's reporting is focused rather than exhaustive.

Invoicing and WordPress-native ecommerce

Stillpoint includes the money layer in every licence: quotes and invoices with line items, tax handling, your own numbering, branded PDF export generated in-plugin, and partial payments that update the outstanding balance as they land. In HubSpot, quoting and payment capability is tied to higher tiers and regional availability.

The WooCommerce difference is more fundamental than tiering. HubSpot reaches your store through a connector that syncs data across the internet. Stillpoint is already inside WordPress: orders sync on checkout, status change, admin edit and refund, each becoming a ledger record with full line items and a deal in an Orders pipeline whose stages mirror WooCommerce statuses. Customers are matched by email, enriched rather than duplicated, and carry lifetime value plus a configurable RFM segment — New, Repeat, VIP, At-risk or Prospect.

The store dashboard covers paid revenue, order counts, average order value, repeat-purchase rate, refunds, twelve months of revenue history, top products and an at-risk list, and a daily scan raises win-back tasks for lapsed customers and unpaid checkouts. Sync is wrapped so a CRM error can never break a checkout. The ecommerce suite is included from Pro upwards.

What we are honestly not trying to be

Stillpoint has no marketing hub, no ad management, no service desk, no app marketplace and no bulk email marketing. It has a token-authenticated read-only JSON API, outbound webhooks, a lead-intake endpoint and a PHP helper, which is enough to integrate with your own tooling but is not an ecosystem.

If your evaluation criteria include "one vendor for marketing, sales and service", we lose that comparison on purpose. Our scope is the sales process and the money attached to it, run on your own infrastructure.

Being clear about scope is more useful to you than a feature matrix that implies parity.

When you might pick HubSpot instead

HubSpot is the better decision in these situations, and we would say so on a sales call:

  • A large sales organisation needing enterprise reporting, forecast roll-ups and territory management.
  • You want one vendor covering marketing, sales and service on a single record.
  • You depend on a wide integration ecosystem and pre-built connectors to other SaaS tools.
  • Full multi-channel marketing automation is central to how you generate revenue.
  • Your team prefers a fully managed cloud service with no hosting responsibility, and the budget supports per-seat pricing.

If, on the other hand, the seat count is climbing, the contact tier keeps nudging the bill upward, or your board has asked where the customer data physically lives, that is precisely the problem Stillpoint was built to solve.

Common questions

For sales pipeline, quoting, invoicing, team email and WooCommerce order intelligence, yes — those are what Stillpoint is built for, and they run entirely on your own server. For multi-channel marketing automation, service ticketing, enterprise report building and a large app marketplace, no. Teams that replace HubSpot with Stillpoint are usually the ones paying mostly for the sales hub and per-seat licences they no longer want to grow.

Yes for the core records. Export contacts, companies and deals from HubSpot as CSV, then import contacts and companies into Stillpoint and recreate your pipelines and stages with win probabilities before loading open deals. Email history and activity timelines generally do not transfer cleanly between any two CRMs, so most teams keep the old account read-only for a short overlap period rather than trying to migrate every note.

It stays on your server, because it was never anywhere else. The core CRM keeps working on your existing data; premium and ecommerce features, plugin updates and support pause until you renew. That is a materially different outcome from a cloud subscription lapsing, where access to the account itself is what you lose.
