Reporting & Analytics

Reporting and analytics

Most WordPress CRM reporting stops at a handful of fixed charts. Stillpoint's is a report builder over a registered object graph — deals, contacts, orders, order items, activities, stage history, work items, projects and time entries — so you build the report your business actually needs instead of hunting for the closest dashboard widget.

A report builder, not a dashboard of fixed charts

The report builder works from a registered object graph: deals, contacts, companies, orders, order items, activities, deal stage history, work items, projects and time entries are all reportable, and the relationships between them — a deal's contact, an order's line items, a project's time entries — are navigable inside a single report rather than requiring a join you write yourself.

Every report is built from the same primitives regardless of which object you start from, which is what makes it a builder rather than a fixed set of pages: pick a format, filter with real operators and grouping logic, choose a date range with proper period comparison, bucket continuous values into bands, and aggregate with the function that answers your actual question.

Three report formats

Tabular lists individual records with the columns you choose. Summary groups records and rolls each group up with your chosen aggregation. Matrix cross-tabulates two dimensions — say, pipeline by month, or product category by customer segment — so you can see a grid rather than a list.

17 filter operators with AND/OR groups

Filters cover equals, not-equals, contains, does-not-contain, starts-with, ends-with, greater-than, greater-than-or-equal, less-than, less-than-or-equal, between, is-empty, is-not-empty, in-list, not-in-list, is-true and is-false — 17 in total, combinable into AND groups and OR groups so a filter can express "stage is Proposal Sent AND (value is greater than 5000 OR source equals Referral)" rather than forcing everything into one flat AND chain.

20 relative date ranges, plus real period comparison

Twenty built-in relative ranges — today, yesterday, this week, last week, this month, last month, this quarter, last quarter, this year, last year, trailing 7/30/90 days, and further variants — mean a saved report keeps working next month without editing a fixed date. On top of that, reports support a previous-period comparison (this month vs. last month) and a same-period-last-year comparison (this quarter vs. the same quarter last year), so seasonal businesses can compare like with like instead of against an arbitrary prior stretch.

Bucket bands for continuous values

Deal size, order value and recency can each be bucketed into bands — for example, deals under $1,000, $1,000–$5,000, $5,000–$20,000 and above — turning a continuous number into a distribution you can group and chart, without you writing the boundaries into a formula every time.

Six aggregations

Count, sum, average, minimum, maximum and count-distinct are available on any numeric or countable field, applied per group in a summary report or per cell in a matrix.

17 ready-made templates across eight categories

Seventeen templates spanning Pipeline, Sales, Activity, Leads, Commerce, Customers, Promotions and Hybrid categories give you a working starting point — pipeline value by stage, win rate by source, activity volume by rep, lead conversion by channel, order volume and average order value, customer segment movement, coupon usage, and blended sales-plus-commerce views — that you then customise rather than build from a blank canvas every time.

Sales targets, quotas and attainment

Set targets per rep, per team or per period, and the reporting layer compares actual performance against quota and shows attainment as a percentage. Because it draws from the same object graph as everything else, a quota report can be scoped to a single pipeline or blended across sales and commerce in a Hybrid business.

Drill-down from every KPI

No KPI is a dead end. Click a number on a dashboard or a report cell and you land on the underlying list of records that produced it — the actual deals, orders or activities — so a report is a way into the data rather than a wall you can only look at.

Permission-respecting CSV export

Reports export to CSV, and the export respects the exporting user's record visibility — an agent scoped to their own book cannot export records belonging to someone else just because a report happens to include them.

Stage history: time-in-stage and stage-to-stage conversion

Every deal stage change is recorded with a timestamp, which is what unlocks two reports that a live-only pipeline snapshot can never produce: time-in-stage (how long deals sit in Proposal Sent before moving) and stage-to-stage conversion (what share of deals that reach Qualified go on to reach Negotiation). Both are historical questions, and both require the history to have actually been captured — which it is, from the first stage change onward.

Business modes choose your default dashboard

Set the install to Sales, Ecommerce or Hybrid mode and the default dashboard changes to match — pipeline-first for a services business, orders-and-RFM-first for a store, a blended view for a business running both. It changes only the default view; every template and the full report builder remain available regardless of mode.

True gross-to-net-to-total layering on commerce reports

Because order capture includes gross subtotal, discounts, tax, shipping, partial refunds and coupon usage, commerce reports can show a real layered sales figure — gross sales, discounts and refunds taken out to reach net sales, tax and shipping added back to reach total sales collected — rather than a single ambiguous "revenue" number that quietly picks one of those without saying which.

The honesty principle, built into the reporting layer itself

A reporting feature list is only useful if you can trust the numbers it produces, so we built three rules directly into the reporting layer rather than leaving them to a help article nobody reads.

  • Every KPI carries its definition and formula in a tooltip. Hover or tap a KPI and you see exactly what it counts and how it is calculated — not a marketing label with an implied meaning, but the actual formula, so two people looking at "win rate" on different dashboards know they mean the same thing.
  • Comparison arrows use per-metric direction, not a blanket up-is-good rule. A falling sales cycle length is good and gets a favourable arrow; a falling win rate is bad and gets an unfavourable one, even though both are "down" in the raw number. A generic dashboard that colours every decrease red is actively misleading on metrics where shorter or lower is the goal.
  • Metrics without the underlying data say so, instead of showing a misleading zero. A margin tile with no cost data captured reads "requires cost data," not "$0" — because zero and unmeasured are different facts, and only one of them is true here.

What is not there yet — on purpose

We would rather list what is missing than let a feature page imply capability that does not exist. None of the following ship today; all are candidates on the roadmap, not silently-planned items.

  • No gross profit or margin until cost data is captured against orders or deals — reporting a margin from a guessed cost would be worse than not reporting one.
  • No cart-abandonment or website-conversion analytics. Stillpoint reports on records that exist — deals, orders, contacts — not on anonymous site traffic or incomplete checkouts.
  • No ROAS, CAC or MER, and no multi-touch attribution. These require advertising spend data and cross-channel touchpoint tracking Stillpoint does not ingest.
  • No scheduled report delivery, and no XLSX or PDF export yet. CSV export today, on demand, respecting permissions; scheduling and richer export formats are roadmap items.

Frequently asked questions

Not yet. Profit and margin require cost data — cost of goods, cost of services delivered — that Stillpoint does not currently capture. What it does capture on the commerce side is gross subtotal, discounts, tax, shipping and partial refunds, which is enough to layer gross sales down to net sales and total sales accurately. Adding a cost field to unlock true margin reporting is a roadmap item, not a shipped feature, and we would rather leave the report blank with an explanation than publish a margin number built on a guessed cost.

No. Those require tracking anonymous site visitors and incomplete checkouts, which is a website analytics job, not a CRM/order-ledger job — Stillpoint only knows about orders and contacts that actually exist as records. If you need abandonment or on-site conversion analysis, run it in a web analytics tool alongside Stillpoint; the two answer different questions.

No. Return on ad spend, customer acquisition cost and multi-touch attribution all require advertising spend data and cross-channel touchpoint tracking that Stillpoint does not ingest. Stillpoint reports on what happened inside your pipeline and your store — deals, stages, orders, activities — not on what an ad campaign cost to produce them. If marketing spend attribution matters to you, that is a separate, specialised tool.

Today, export is CSV only, generated on demand and respecting the exporting user's permissions. Scheduled report delivery by email and PDF/XLSX export formats are on the roadmap, not shipped. If you need a recurring snapshot right now, the honest workaround is exporting CSV on your own cadence or reading the underlying data through the read-only JSON API described on the integrations page.
