Stillpoint vs FluentCRM
Stillpoint CRM vs FluentCRM
The short verdict
FluentCRM is excellent at what it sets out to do: self-hosted email marketing automation inside WordPress — campaigns, drip sequences, list and tag segmentation, a polished modern interface, strong LMS and membership integrations, flat pricing and no per-contact fees. It is the most widely used self-hosted CRM in the WordPress world for good reason.
But it is email-marketing-first. It is not built around a deal pipeline, weighted forecasting, quoting and invoicing, or a per-user mailbox where each rep reads and answers their own mail.
Stillpoint is built around the sales process and the money: unlimited pipelines with Kanban and stage probabilities, weighted forecasting, quotes and invoices with PDF export and partial payments, per-user IMAP/SMTP team email, and WooCommerce orders synced in as pipeline with RFM segments. Plenty of businesses run both — FluentCRM for broadcast marketing, Stillpoint for the sales pipeline — and Stillpoint deliberately does not try to become a bulk email platform.

Two different jobs, honestly stated
The clearest way to decide is to name the job. If the job is "send the right message to thousands of subscribers automatically", that is marketing automation and FluentCRM is a leading self-hosted answer to it. If the job is "know which deals are open, what they are worth, who owns them, and get the invoice out", that is sales CRM and it is what Stillpoint is designed around.
Confusion arises because both call themselves CRM. FluentCRM's contact record is superb for a marketing audience: tags, lists, campaign history, engagement. Stillpoint's contact record is built to hang deals, quotes, invoices, follow-ups, notes and a full activity trail off a named human at a named company.
Neither record shape is better. They are optimised for different questions.
What FluentCRM does better than us — and we are not chasing it
We would rather be direct about this than have you buy Stillpoint expecting a newsletter tool. FluentCRM's campaign builder, sequence automation, engagement reporting and integration surface for LMS, membership and form plugins are genuinely strong, and its interface is one of the nicest in the WordPress plugin world.
Stillpoint does not have bulk campaign sending, subscriber management, unsubscribe handling, or deliverability tooling, and adding them is not on our roadmap. Our email is one-to-one: your own mailbox, your own signature, templates with merge placeholders, every message logged against the contact.
That is a deliberate boundary. A product that tries to be both usually does one of them badly.
Where Stillpoint is the stronger tool
Sales structure is the difference. Stillpoint gives you unlimited pipelines, each with ordered stages that carry a win probability and won/lost flags, moved by drag-and-drop on a Kanban board. Deal value multiplied by stage probability produces a weighted forecast on the dashboard, alongside open pipeline value, won/lost counts and a value-by-stage breakdown.
Then there is the money side, which marketing tools generally leave to another plugin: quotes and invoices with line items, tax handling, your own numbering, branded PDF export generated in-plugin, and partial payments so an invoice's outstanding balance updates as payments land.
And accountability: owner scoping so agents see only their own book, round-robin routing for inbound leads, follow-up tasks with overdue items surfacing on the dashboard, an ICS feed per user, @mentions, and an audit log recording who changed what and when.
- Unlimited pipelines and stages with probabilities for forecasting
- Quotes, invoices, PDF export and partial payments in the base licence
- Per-user IMAP/SMTP inbox with encrypted credentials
- Rules-based lead scoring plus optional round-robin assignment
- Audit log, notifications and @mentions for team accountability
Ecommerce: list marketing versus order intelligence
FluentCRM connects to WooCommerce to make purchase behaviour usable for marketing — trigger a sequence after a purchase, segment by what someone bought. That is the right integration for a marketing tool.
Stillpoint's WooCommerce suite is about operational store intelligence. Orders sync on checkout, status change, admin edit and refund; each one becomes a ledger record with full line items and a deal in an auto-created Orders pipeline whose stages mirror WooCommerce statuses. Customers are matched by email and enriched, never duplicated, and each gains lifetime value, order count, average order value and an automatic segment: New, Repeat, VIP, At-risk or Prospect, with your own thresholds.
A daily scan then creates follow-up tasks for at-risk customers and unpaid or failed checkouts older than a window you choose, without ever duplicating an open task. The ecommerce suite is included in the Pro and Agency plans.
Data ownership and pricing model
On data ownership both products are on the same side of the line, and that is worth saying plainly: your records live on your server, not in a vendor cloud. Stillpoint keeps its data in its own store — a single SQLite file in a private uploads folder by default, or your own MySQL database — which can be moved outside the web root with one constant and backed up by copying one file.
On pricing both avoid the per-contact escalation that cloud tools rely on, which is one of the main reasons people choose self-hosted at all. FluentCRM sells annual licences by site count; Stillpoint is $19/mo or $149/yr for one site, $29/mo or $299/yr for up to five with the WooCommerce suite, and $49/mo or $499/yr for up to twenty with priority support — unlimited users on every plan.
If you already pay for FluentCRM, adding Stillpoint is not a duplicate purchase; it covers the part FluentCRM does not.
When you might pick FluentCRM instead
Pick FluentCRM instead — or first — when your primary need is marketing rather than selling:
- Your main requirement is newsletters, drip campaigns and broadcast automation to a sizeable list.
- You need subscriber management, unsubscribes and deliverability handled properly.
- Your revenue comes from courses, memberships or content rather than a named pipeline of deals.
- You want automation triggered by on-site behaviour and email engagement as the core workflow.
- You do not quote, invoice or forecast, so a sales CRM would sit largely unused.
And if you do both — market to a list and work real deals — running FluentCRM alongside Stillpoint is a perfectly sensible stack, with each doing the job it was designed for.
Common questions
Yes, and many businesses should. They occupy different layers: FluentCRM handles broadcast email marketing, sequences and subscriber management, while Stillpoint handles the sales pipeline, forecasting, quotes and invoices, per-user team email and WooCommerce order intelligence. They are separate plugins with separate data stores, so there is no conflict — and Stillpoint's webhooks and token-authenticated JSON API let you push events between them if you want the two to talk.
No, and that is deliberate. Stillpoint's email is one-to-one: each user connects their own mailbox over IMAP for reading and SMTP for sending, with a personal from-name and HTML signature, reusable templates with merge placeholders, and every sent message logged against the contact. There is no bulk campaign sender, subscriber list management or unsubscribe handling. If you need those, use a dedicated email marketing tool such as FluentCRM alongside it.
Ask what you would lose most by not having. If you would lose contact with an audience you email regularly, buy the email tool. If you would lose track of open deals, forecasts, quotes and unpaid invoices, buy the sales CRM. Businesses selling considered, quoted work to named buyers almost always feel the second gap first.
