Per-agent pricing looks reasonable as a single line on a pricing page and turns into a very different number once you actually multiply it by a growing support team. Here's that arithmetic worked out at 3, 5, 10 and 20 agents across three well-known helpdesks, including the AI add-on most pricing pages tuck away from the headline figure.
Per-agent pricing is easy to quote and hard to reason about, which is exactly the property that makes it work well for a vendor's homepage and badly for anyone trying to plan a support budget more than a quarter out. "$55 per agent per month" sounds close to nothing until you actually run the multiplication for the team size you have, or the team size you'll have once support headcount grows the way support headcount usually does — in lockstep with the customer base you're presumably trying to keep happy. This piece just does the arithmetic, plainly, using each vendor's own published entry-tier pricing.
The vendors and the figures
Three widely used helpdesks price per agent per month, billed annually, at their entry-to-mid tiers. All the figures below are their entry-tier list prices, verified from public pricing pages in August 2026.
- Zendesk — Suite Team at $55/agent/month, Suite Professional at $115/agent/month, plus a Copilot AI add-on at +$50/agent/month on top of either tier.
- Freshdesk — free for 1–2 agents, then Growth at $19/agent/month, Pro at $55/agent/month, Enterprise at $89/agent/month.
- Help Scout — Standard at $25/user/month, Plus at $45/user/month, Pro at $75/user/month.
The multiplication at 3, 5, 10 and 20 agents
Take each vendor's cheapest paid entry tier and multiply by agent count, per year, to see the shape of the curve rather than a single snapshot number.
Zendesk Suite Team — $55/agent/month = $660/agent/year
- 3 agents: 3 × $660 = $1,980/year
- 5 agents: 5 × $660 = $3,300/year
- 10 agents: 10 × $660 = $6,600/year
- 20 agents: 20 × $660 = $13,200/year
Freshdesk Growth — $19/agent/month = $228/agent/year (after the 1–2 agent free tier)
- 3 agents: 3 × $228 = $684/year
- 5 agents: 5 × $228 = $1,140/year
- 10 agents: 10 × $228 = $2,280/year
- 20 agents: 20 × $228 = $4,560/year
Help Scout Standard — $25/user/month = $300/user/year
- 3 agents: 3 × $300 = $900/year
- 5 agents: 5 × $300 = $1,500/year
- 10 agents: 10 × $300 = $3,000/year
- 20 agents: 20 × $300 = $6,000/year
Even at the cheapest of the three, Freshdesk's entry paid tier, a 10-agent team is paying $2,280 a year for what is fundamentally a shared inbox with ticketing on top — and that's the Growth tier specifically, which doesn't include the SLA management, custom roles or advanced automation that Freshdesk reserves for Pro at $55/agent/month, which recalculates to $6,600/year for the same 10 agents. The number you see on a marketing homepage and the number you actually need at your real feature requirements are frequently two different tiers, which is easy to miss when you're comparing headline prices rather than headline prices at the tier that actually has what you need.
The add-on that isn't in the headline number
Zendesk's AI features — its Copilot add-on — are priced separately from the base Suite tiers, at +$50 per agent per month on top of whichever base tier you're on. That's not a rounding error on the total: at 10 agents, adding Copilot to Suite Team turns $6,600/year into $6,600 + (10 × $50 × 12) = $6,600 + $6,000 = $12,600/year, nearly doubling the bill for a feature that appeared nowhere in the headline $55 figure most comparisons quote. At 20 agents the same add-on adds $12,000/year on top of the $13,200 base, for a combined $25,200/year. Whether that AI tooling is worth it for a given team is a genuine judgment call — the point here is narrower: it's structurally invisible in the number most people compare on, and it scales per agent exactly like the base price does, so it compounds the same way.
What flat-rate pricing changes about the decision
Stillpoint prices the Service Desk as part of a flat annual licence rather than per agent: $299/year for Pro (up to five sites, unlimited agents) or $499/year for Agency (up to twenty sites, unlimited agents) — with no separate per-seat AI add-on, because Stillpoint doesn't have AI features to sell as one, and no per-seat charge for SLA management, reporting, or any other capability that's included in the base plan either way. There's also a Starter plan at $149/year for teams that don't need the WooCommerce-specific suite, still with unlimited agents.
The practical effect isn't just that the number is lower at any single agent count you check — it's that the number doesn't move as the team grows. A support team going from 5 to 10 to 20 agents changes Stillpoint's bill by exactly $0, because the licence was never metered per seat in the first place. The same growth on Zendesk Suite Team moves the bill from $3,300 to $6,600 to $13,200 a year, and that's before anyone adds the AI seat. For a growing support operation, that's the actual comparison worth making — not the entry-tier headline price at whatever team size you happen to have today, but the shape of the cost curve as headcount changes, since headcount is usually the one variable in this calculation you have the least control over stopping.
Self-hosting also changes a second variable that per-agent pricing doesn't touch at all: where the ticket and customer data actually lives. A cloud helpdesk holds every conversation, attachment and customer record on its own infrastructure regardless of your plan tier — moving providers later means an export-and-import project, not a config change. A self-hosted service desk keeps that data in your own database on your own server from the start. Neither approach is objectively correct for every business, but it's a genuinely separate axis from the per-agent cost curve above, and worth weighing alongside it rather than only comparing the yearly total.
